1. Who we are

Gatsby Nights, trading as Gatsby Nights, is the entity responsible for the personal information described in this policy. Our service is the organisation of casino-themed offline events in Australia. 2. What personal information we collect

Information you give us through the enquiry form

Our enquiry form collects four details, all of which are required to answer you:

  • Name — so we know who we are speaking to.
  • Phone number — so a producer can call you back.
  • Event type — so we can recommend a suitable format.
  • Event date — so we can check crew and equipment availability.

The form also includes an optional free-text notes field. Please do not enter sensitive information there. We also record the three confirmations you tick: that the event is for adult participants only, that you agree to this policy, and that you understand the service does not include real-money gambling, betting or cash prizes.

Information you give us directly

If you phone or email us, we keep the correspondence and any details you choose to share — typically a venue, guest numbers, a run sheet or a billing contact. For confirmed bookings we hold the commercial contract details needed to deliver and invoice the event.

Information collected automatically

Our web server records standard technical information in its logs, including IP address, browser type, the pages requested and the time of the request. This is used for security and troubleshooting. Where you consent, cookies may also collect analytics and advertising information — see section 5.

What we do not collect

We do not collect payment card details through this website, we do not operate any account or login area, and we do not knowingly collect information about anyone under the age of 18.

3. Why we collect it and how we use it

  • To respond to your enquiry and prepare a quote.
  • To plan, staff, deliver and invoice a booked event.
  • To communicate with you, your venue and your other suppliers about the event.
  • To keep records required for insurance, accounting and tax purposes.
  • To measure how our website performs, where you have consented to analytics cookies.
  • To measure advertising performance and personalise advertising, where you have consented to marketing cookies.
  • To maintain the security and integrity of our website and systems.

We do not sell your personal information. We do not use your enquiry details for unrelated marketing without asking you first.

4. Our basis for handling your information

Under the Australian Privacy Principles we only collect personal information that is reasonably necessary for our functions and activities, and we collect it by lawful and fair means. In practice:

  • Enquiry and booking information is collected because it is necessary to provide the service you have asked about.
  • Analytics and advertising information is collected only with your consent, given through the cookie banner.
  • Some records are kept because another Australian law requires us to keep them, for example tax records.

5. Cookies, analytics and advertising

Our Cookie Policy describes each category in detail. In summary:

  • Essential cookies are always active. They deliver the site, protect the enquiry form and remember your cookie choice. They do not include advertising or analytics storage.
  • Analytics cookies — for example Google Analytics 4 — help us understand how pages perform. They control the analytics_storage signal and are not set unless you switch them on.
  • Marketing cookies — for example Google Ads remarketing, conversion measurement and ads personalisation — control ad_storage, ad_user_data and ad_personalization. They are not set unless you switch them on.

No analytics or advertising cookies are set before you give consent. Advertising personalisation only operates where you have consented to marketing cookies. Declining is as easy as accepting, and you can change or withdraw your consent at any time using Change cookie settings in the footer of every page.

Where Google services are used on this site, some data may be shared with Google. Google describes this at How Google uses data from sites or apps that use Google services, and sets out its commitments to businesses at Google Business Data Responsibility.

6. Google Consent Mode v2

This website implements Google Consent Mode v2. Before you make a choice, all four consent signals are set to denied:

  • ad_storage: denied
  • analytics_storage: denied
  • ad_user_data: denied
  • ad_personalization: denied

When you make a choice, those signals are updated to match it. Accepting all grants all four. Declining leaves all four denied. Using Customise grants only the categories you switch on — analytics consent affects analytics_storage alone, and marketing consent affects the three advertising signals. Consent is never inferred from scrolling, closing the banner or navigating between pages.

7. Who we disclose information to

We disclose personal information only where it is necessary, and only to:

  • Our crew. Producers, croupiers, hosts and build crew receive the operational detail they need for your event.
  • Your venue and suppliers. Where coordination requires it, for example a run sheet shared with your venue or caterer.
  • Service providers. Our web host, email provider and accounting software, each under contract and only for the purpose we engage them for.
  • Analytics and advertising providers. Google, where you have consented to the relevant cookie category.
  • Professional advisers and insurers. Where reasonably required.
  • Authorities. Where disclosure is required or authorised by Australian law.

8. Overseas disclosure

Some of our service providers, including Google, may store or process information on servers outside Australia. Where we disclose personal information to an overseas recipient we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. If you would like to know which providers are involved at any time, contact us at [email protected].

9. How long we keep information

  • Enquiries that do not become bookings: up to 12 months, then deleted.
  • Booking and event records: up to 7 years, to meet Australian accounting and tax record-keeping obligations.
  • Server logs: typically up to 12 months.
  • Cookie consent record: stored in your own browser until you clear it or change your choice.
  • Analytics and advertising data: retained by the relevant provider according to its own retention settings and policies.

We delete or de-identify personal information when it is no longer needed for a purpose described in this policy and we are not required to keep it.

10. Security

The site is served over HTTPS. Enquiry submissions are validated on the server, protected against cross-site submission, and sent to a monitored company address. Access to enquiry and booking records is limited to staff who need it. No system is perfectly secure, so if you believe your information has been compromised please contact us immediately and we will respond, including notifying you and the Office of the Australian Information Commissioner where the Notifiable Data Breaches scheme requires it.

11. Your rights: access, correction and deletion

Under the Australian Privacy Principles you may:

  • Request access to the personal information we hold about you.
  • Request correction of information that is inaccurate, out of date, incomplete, irrelevant or misleading.
  • Request deletion of information we no longer need to keep.
  • Withdraw cookie consent at any time via Change cookie settings in the footer.
  • Ask us not to contact you further about an enquiry.

Email [email protected] with the subject line "Privacy request". We will respond within a reasonable period, normally within 30 days. We may need to verify your identity first, and we will explain our reasons in writing if we cannot action a request in full.

12. Complaints and the OAIC

If you believe we have mishandled your personal information, please tell us first at [email protected] so we can investigate and respond. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner at www.oaic.gov.au.

13. Children and young people

Our events are strictly for adults aged 18+. This website is not directed at children or young people and we do not knowingly collect their personal information. If you believe a minor has submitted details to us, contact [email protected] and we will delete the record.

14. Changes to this policy

We may update this policy as our practices or the law change. The current version always appears on this page with its last-updated date. Material changes affecting how we use your information will be highlighted here.
